Booking Terms

These terms apply to every tour booked on mapilengpass.com, operated by Ma Pi Leng Pass (“we”, “us”), Dong Van Commune, Tuyen Quang Province, Vietnam. By completing checkout or confirming a booking on WhatsApp you accept these terms.
1. What you are booking
All tours are private, for groups of 1–4 guests, priced per group. The price shown at checkout is final and includes everything listed on the tour page: a private car with an experienced mountain driver, a licensed local guide who speaks fluent English, hotel pickup and drop-off (in Ha Giang city for the three-day loop; at your Hanoi hotel or Noi Bai airport for the four-day tour from Hanoi), private hotel rooms for the nights listed, the meals and water stated for that tour, every entrance fee, the boat on the Nho Que River and the border-area permit.
Not included: personal purchases, drinks beyond those listed, optional tips, travel insurance and, on the three-day loop, the bus or car between Hanoi and Ha Giang city (we can book one on request).
2. Sample itineraries and tailor-made trips
The itineraries on this site are sample routes, and every tour can be tailored on request. Tell us what to add, skip or spend longer on, and we confirm the plan and an all-inclusive price in writing before you book; a tailored trip can cost more or less than the sample. On the road, your guide can adjust the order and pace within the days booked.
3. Operation and licensing
Tours are designed and sold by us and operated together with licensed Vietnamese partner operators holding international tour-operator licences. Your booking contract is with us; we remain your single point of contact before, during and after the tour.
4. Border-area permit
Foreign visitors need a border-area permit for Quan Ba, Yen Minh, Dong Van and Meo Vac. We apply for it for every guest. After booking, send a clear photo of each traveller’s passport information page on WhatsApp, at least two days before departure, and carry your passport throughout the tour. If a permit cannot be issued because of the passport details supplied, the cancellation terms below apply.
5. Payment
You can pay in one of two ways. In full online: the whole price in USD by card, at our secure checkout or through a secure payment link we send on WhatsApp. 30% online, the rest in cash: a 30% deposit paid online to confirm the booking, and the remaining 70% in cash to your guide on the first day of the tour, in US dollars or Vietnamese dong; your confirmation states the exact balance due.
Your booking is confirmed when the online payment completes and you receive a written confirmation with pickup time and guide details.
6. Cancellation and refunds
Free cancellation up to 5 days (120 hours) before your scheduled pickup time — everything you have paid is refunded to your original payment method, normally within 5–10 business days depending on your bank.
Within 5 days of departure, including no-shows, 30% of the tour price is charged, because the car, guide and hotel rooms are already committed. If you paid in full, we refund the other 70%; if you paid the 30% deposit, the deposit covers the charge and nothing more is due.
Rescheduling is free up to 5 days before departure, subject to availability.
7. Weather, roads and changes by us
The Ha Giang Loop crosses high mountain passes. Heavy rain can cause landslides, mostly from May to September; fog can cover Ma Pi Leng from December to February; and the Nho Que boats stop after heavy rain. If part of the route is unsafe or closed on the day, your guide re-routes or swaps in a comparable stop, with no partial refund.
If the authorities close the loop, or a natural disaster makes the tour impossible, you choose between a new date at no cost and a 100% refund. If a named hotel becomes unavailable, we tell you in advance and book one of the same standard. We never quietly downgrade an itinerary.
8. Your responsibilities
Please be ready in your hotel lobby at the confirmed time; your guide waits up to 20 minutes and will call or message you on WhatsApp. Late starts shorten the day rather than extend it. You are responsible for travel insurance, for carrying your passport, and for telling us about dietary needs, mobility limits or travel sickness on winding roads when you book.
9. Children and accessibility
Children under 5 travel free and do not count towards the group size; from 5 a child counts as one guest. Tell us their ages and we bring child seats. The tours involve long drives on mountain roads; the Sky Path walk and the climb to Lung Cu flag tower are optional, and your guide plans shorter walks for older parents or small children.
10. Liability
We operate with licensed partners and insured vehicles. To the extent permitted by Vietnamese law, our liability for any claim is limited to the amount paid for the booking. Nothing in these terms limits liability that cannot be limited by law.
